Shinydocs makes business content shine with invisible infrastructure

When you hire a new millennial fresh out of school to work for one of the five major banks in the country, you don’t really expect them to have much experience manipulating an enterprise content management (ECM) solution – but using something like Dropbox is a different story.

Kitchener, Ont.-based solutions provider Shinydocs Corp. solves that problem. Its  Shinydrive interface plumbs the depths of a corporate file system – whether it’s stored in Microsoft SharePoint, OpenText, or the cloud – and presents it as a simple drive in Windows Explorer.

This is needed because that it’s hard to both put together a backend that meets enterprise record-keeping requirements and integrate that into the workflow of end-users, explains Shinydocs CEO Jason Cassidy. And large organizations that need to meet compliance standards can’t exactly just be throwing all their files in an unorganized shared drive.

The result is that software vendors focus on solving the backend legal challenges while leaving the user experience lacking.

“These organizations didn’t do it,” he says. “They did all the heavy lifting on the backend, but they didn’t provide the seamless end user experience.”

Shinydocs says it addresses the key pain point of content trapped in the ECM going unused. For its work doing so for a major financial institution in Canada, it’s the winner of the Diamond Award in the Best FinTech Solution category at CDN’s Channel Innovation Awards.

It’s not the first time Shinydocs has been deemed award-worthy. It was previously named the OpenText Global Technology Partner of the Year in 2016 and 2017. OpenText also recently awarded a large financial client of Shinydocs. When receiving the trophy, the organization’s chief technology officer credited ShinyDocs.

“By creating a unified, consistent, and most importantly, an already familiar environment across multiple content management channels for teams and departments to work in, Shinydocs was able to foster a future of collaboration, improve transparency, and increase trust in a single version of the truth,” writes Shinydoc’s spokesperson in its CIA nomination.

The financial organization sees all 600 of its content users happily perusing company documents and almost no onboarding was needed. Now the client plans to eliminate all of its shared drives, migrating all of its content to its ECM to be located with Shinydrive.

It’s also planning to launch an AI tool, Shinydocs’ Cognitive Analysis tool. This will migrate legacy content that was stored prior to the use of the current ECM in 2016. With the help of machine learning to crawl and classify data, Shinydocs can build a new library of legacy content and migrate it to the modern ECM.

Aside from eliminating training – because everyone knows how to use Windows Explorer already – Shinydocs helps clients meet compliance standards. Especially in the banking sector, many compliance regimes require auditable trails for content and evidence that employees are well informed before taking certain actions.

“When you have an organization that has tens of thousands of users, it’s rare that you’ll be able to tell people exactly how to do their jobs,” Cassidy says. “It’s also rare to have someone in charge as a records keeper.”

When employees are actually making use of the corporate wealth of knowledge on the ECM, it’s much more likely the organization will remain in compliance.
